Collaboard Customer Success Story – City of Vienna

Wien Digital is an innovative, service-oriented IT department focused on the digitalization of the City of Vienna. Wien Digital ensures the secure operation of ICT across Vienna's hospitals, nursing homes, and the city administration. The goal of digitalization in Vienna is to be the "city of short distances."

The Starting Point

Wien Digital faced the challenge of evaluating a software solution for innovative digital whiteboards that enables real-time collaboration for virtual teams within the Vienna City Administration.

Particular importance was placed on intuitive usability, compliance with data protection requirements, and seamless integration into the existing system landscape.

Finding the Solution

To ensure broad participation from future users, the project team shaped the path to a solution collaboratively. Requirements were gathered through a survey in which nearly 1,400 colleagues participated and provided valuable insights. Alongside a variety of "must-have" and "should-have" criteria, the following priorities were defined for an online whiteboard solution:

• Support for real-time collaboration among multiple participants on the board
• Simple and intuitive handling
• Import and export of content such as images, media, and documents
• Templates for project, process, and organizational management, requirements analysis, and facilitation

The Solution: Collaboard

To find the right tool, a tender was launched with a standardized selection process. All vendors that made the shortlist were able to present their solutions to Wien Digital based on pre-defined use cases. Evaluation was carried out by a committee consisting of City of Vienna colleagues who had already gained experience with similar solutions. The procurement process was completed successfully, and Collaboard was awarded the contract.
