Is Microsoft Whiteboard Being Retired? What Changes in 2026

Microsoft Whiteboard is not shutting down completely. But the way people access it, the accounts they can use and the place where their boards are stored are all changing.

The standalone Whiteboard apps for Windows, iOS and Android are being retired. Microsoft is also ending the personal-account Whiteboard experience and completing the move of older enterprise whiteboards from Azure to OneDrive for Business. Legacy boards that are not migrated in time may be permanently deleted.

For people who simply want to know whether they can open their board tomorrow, the various announcements have been difficult to follow. Some refer to the app, others to personal accounts or older board storage. Deadlines have also changed since Microsoft first announced them.

This article separates those changes, explains who needs to act and shows what to consider if you are looking for a Microsoft Whiteboard alternative.

The short answer: Microsoft Whiteboard will continue for eligible work and school accounts through Microsoft Teams and the web. The standalone Windows, iOS and Android apps are retiring, personal-account access is ending, and unmigrated legacy boards will be deleted.

What exactly is changing with Microsoft Whiteboard?

There is no single Microsoft Whiteboard shutdown. Several transitions are happening at roughly the same time:

1. Microsoft is retiring the standalone Whiteboard apps for Windows, iOS and Android.
2. People using Whiteboard with personal Microsoft accounts are losing the ability to continue working with the service.
3. Organizations must migrate remaining Azure-based whiteboards to OneDrive for Business.
4. Older boards that are not migrated or exported before the deadline can be permanently deleted.
5. The supported Whiteboard experience for organizations is moving toward Microsoft Teams, the browser and OneDrive.

This distinction matters. An employee using a OneDrive-backed board in Microsoft Teams is in a very different situation from an individual using the Windows app with a personal Outlook.com account.

Microsoft Whiteboard retirement timeline

Microsoft has adjusted the timeline more than once. The following overview reflects the information available on August 26, 2026.

Microsoft's official standalone-app retirement page names October 16, 2026 as the retirement date for the Windows, iOS and Android apps. Its separate Azure-to-OneDrive migration guidance explains the September 25 migration deadline, the deletion of remaining legacy boards on October 16 and the Azure service shutdown on November 30. The updated dates for personal accounts were communicated through Microsoft 365 Message Center item MC1441775.

Earlier notices used the dates August 22 and September 5, as Windows Central reported in July 2026. These dates still appear in articles and community answers published before Microsoft updated the schedule. If you have important content, the sensible approach is not to wait for the last possible day.

Is Microsoft Whiteboard shutting down for business users?

No. Microsoft states that Whiteboard is not being retired for users with eligible work or school accounts.

After the standalone apps retire, these users can continue to access OneDrive-backed boards through:

• Whiteboard on the web
• Microsoft Teams meetings
• The Whiteboard app within Microsoft Teams
• A Whiteboard tab in a Teams chat
• Supported OneDrive experiences

For many organizations, this will feel less like the disappearance of a product and more like a change in how that product is delivered. People who already work primarily in Teams may notice relatively little. Those who rely on the dedicated Windows or mobile apps will need to change their routine.

IT teams should nevertheless verify that users have a provisioned OneDrive for Business account. Microsoft explains that new commercial whiteboards are stored as .whiteboard files in the creator's OneDrive. Users without provisioned OneDrive storage cannot create new boards under this model. What happens to Microsoft Whiteboard personal accounts?

The effect is more significant for people who use Whiteboard with a personal Microsoft account, such as an Outlook.com, Hotmail or Live account.

Microsoft is ending this Whiteboard experience as the service moves toward OneDrive for Business. According to the updated retirement communication, personal users will lose editing access and should export boards they want to retain before the final deadline.

This is the source of many headlines claiming that Microsoft Whiteboard is shutting down. Those headlines are too broad, but for a personal user the practical result is similar: continuing to create and edit boards will require a different solution or an eligible organizational Microsoft account.

If you are affected, export your important boards now. Do not assume that a Microsoft 365 Personal or Family subscription is the same as a Microsoft 365 business account.

Could existing Microsoft Whiteboards be deleted?

Yes, in specific situations.

The greatest risk applies to older enterprise whiteboards that are still stored in Microsoft's legacy Azure Whiteboard service. These boards must be migrated to OneDrive by September 25, 2026. After this date, remaining boards become read-only. On October 16, Microsoft says they will be permanently deleted and cannot be recovered.

Migration is triggered when the owner opens Whiteboard through an eligible client, such as Whiteboard on the web or within Teams. Administrators can use Microsoft's Whiteboard PowerShell tools to inventory boards, review ownership and identify content belonging to dormant or departed users.

This last point is easy to miss. A shared board may be important to an entire team, but its migration can still depend on the original owner. Organizations should therefore check boards owned by people who have left the company or no longer use Whiteboard regularly.

What should Microsoft Whiteboard users do now?

A short review now can prevent unpleasant surprises later.

For individual users

1. Check whether you are signed in with a personal, work or school account.
2. Open every important board and confirm that it is still available.
3. Export content that you cannot afford to lose.
4. Test whether you can access the same boards through Whiteboard on the web.
5. If you use a personal account, select an alternative before editing access ends.

For organizations and IT administrators

1. Identify employees who use the standalone Windows, iOS or Android apps.
2. Inventory remaining Azure-based whiteboards and their owners.
3. Ask owners to open their boards through an eligible client before September 25.
4. Review migration failures and retry them while the migration service remains available.
5. Transfer ownership of important boards belonging to inactive or departed users.
6. Export content that cannot be migrated.
7. Update internal documentation, device images and helpdesk instructions.
8. Decide whether Teams and web-only access meets your users' long-term requirements.

How can you export a Microsoft Whiteboard?

Microsoft's standard export process is straightforward:

1. Open the board.
2. Select Settings in the upper-right corner.
3. Select Export Image.
4. Choose standard or high resolution.
5. Save the exported image.

There is an important limitation: the exported image preserves the visual result, but not the board as a collection of editable sticky notes, drawings, shapes and other objects. An image is useful as an archive or reference, but it is not a complete migration format for another whiteboard platform.

For important working boards, consider keeping both a high-resolution export and screenshots or copies of the underlying documents. If the board contains decisions, responsibilities or project information, document these separately as well.

Why the changes matter beyond the retirement of an app

For work and school accounts, Microsoft Whiteboard remains available. Even so, the transition raises a broader question: How dependent should a visual collaboration process be on one productivity ecosystem?

Microsoft's direction is clear. Whiteboard is becoming part of the Microsoft 365, Teams and OneDrive environment rather than remaining a broadly available standalone whiteboard product.

That may be a good fit for organizations that are fully standardized on Microsoft 365. It may be less suitable when:

• External participants need simple and lasting access to boards.
• Not every participant has a compatible Microsoft business account.
• Teams use more than one meeting or collaboration platform.
• A dedicated visual workspace is needed outside a Teams meeting.
• The organization requires control over its hosting location.
• Self-hosting or an on-premises deployment is mandatory.
• Workshops require facilitation features beyond basic drawing and sticky notes.

External collaboration is a good example. Microsoft supports external participation under specific tenant and guest-account conditions. However, Microsoft notes that external attendees who collaborate during a Teams meeting may not be able to access that whiteboard after the meeting. Collaboard as a Microsoft Whiteboard alternative

If the upcoming changes affect the way you work, this is a good moment to look at what you actually need from a whiteboard platform. Replacing one tool with another is rarely just a question of reproducing a list of features. Access, data ownership, deployment and the way people collaborate with guests are just as important.

Can Microsoft Whiteboards be migrated to Collaboard?

Microsoft Whiteboard does not currently provide a universal export that turns a board into editable objects in another whiteboard platform. The supported image export can be uploaded to Collaboard, where it can serve as an archive, visual reference or locked background.

Alternatively the PDF import feature of Collaboard allows to import Microsoft Whiteboards to some extends. Board imported with the PDF import are converted into editable objects in Collaboard. While not all object types are supported, the import is not a 1:1 import. 

In practice, this is also an opportunity to clean up boards that have grown over time, remove outdated material and rebuild the remaining information using structured areas, templates, mind maps or tables.

Microsoft Whiteboard is changing, not disappearing

The simple headline “Microsoft Whiteboard is shutting down” does not tell the whole story. Whiteboard remains available to eligible work and school users, but it is moving into a more tightly defined Microsoft 365 environment.

For personal users, standalone-app users and organizations with legacy Azure boards, the consequences are more immediate. Access can change, editing can stop and boards that are not migrated or exported may be deleted.

The most important step is therefore to check your account and storage situation now. Export critical content, complete any required migration and confirm that the remaining Teams and web experience fits the way your organization collaborates.
