To Do List Template
Keep track of everything that needs to get done. A to do list on a whiteboard helps you collect tasks, set priorities and check them off, alone or as a team.

Setting up a to do list for your team
The Collaboard template is a table with columns for the task, priority, deadline, status, assignee and notes. Next to it you'll find a deck of colored notes for the priorities and an icon set with symbols such as a check mark, a clock and a warning sign, so the status is visible at a glance.
List the tasks
Write each task into the To-do column, one per row. Keep it short and start with a verb.
Set priorities
Place a red, yellow or light blue note to mark high, medium or low priority.
Add deadlines
Add a date for tasks that have one. Leave it empty rather than inventing a deadline.
Assign owners
Write who takes care of each task. In a team, every task needs exactly one name.
Update the status
Mark tasks as not started, in progress or finished, for example with the check mark or the clock from the icon set.
Review regularly
Go through the list once a week, clear finished tasks and adjust priorities.
What is a to do list?
A to do list collects tasks in one place so nothing gets forgotten. The Collaboard template goes a step further than a simple checklist: each task gets a priority, a deadline, a status and an owner, which makes it useful for small teams as well as for your own work.
The columns of the template
- To-do The task itself, one per row. Example: send the workshop invitation.
- Priorities High, medium or low, marked in red, yellow or light blue.
- Deadline When the task needs to be done.
- Status Not started, in progress or finished.
- Assignee Who takes care of the task.
- Interesting facts Notes, links or context that help with the task.
If tasks move through several stages, a Kanban board shows the workflow more clearly.
When a simple to do list is enough
- Small team projects Keep track of who does what by when, without a separate tool.
- Meeting follow-ups Collect the action items from a workshop in one shared place.
- Personal planning Organize your own tasks with priorities and deadlines.
- Event preparation Track all tasks for an event with owners and dates.
Writing clear tasks with one owner each
- Start tasks with a verb Call the caterer is clearer than catering.
- Keep high priority rare If every task is red, priorities lose their meaning. Sort with the Eisenhower matrix first if needed.
- One owner per task Tasks with two names often end up with no one.
- Use the facts column Links and context saved next to the task save searching later.
